Use these customer-service chat transcripts to plan product answers, order support, escalation, and the handoff from an AI assistant to a human.

Transcript template: a product question

Customer: "Is this suitable for a small kitchen?" Agent: "The product is 42 cm wide and the listing describes it as countertop-sized. If you tell me the space you have, I can compare it with the narrower model." The transcript shows the source fact and gives the customer a next question instead of an unsupported opinion.

Transcript template: a recommendation

Customer: "I need a gift for someone who travels every week." Agent: "Two options fit that use: the Compact Case is the lightest, while the Organizer Case has more compartments for cables and documents. Is low weight or organization more important?" A recommendation conversation narrows the choice with a relevant trade-off.

Transcript template: order status

Customer: "Has my order shipped?" Agent: "The order is marked as dispatched. The tracking link is [link]. The latest courier scan is from yesterday. If there is no new scan by the end of the delivery window, the store team can investigate." The template avoids claiming a delivery date that the tracking data does not support.

Transcript template: a return request

Customer: "I want to return this." Agent: "I can explain the store's return policy. It allows unused items to be returned within 30 days. Because I cannot approve this specific request here, I will pass the conversation to the store team with your order context." A good transcript separates policy information from a decision that needs access or judgment.

Transcript template: a product comparison

Customer: "Are these two shoes the same?" Agent: "They share the same sole, but the first has a waterproof upper and the second is lighter mesh. Choose the first for wet conditions and the second for warm-weather walking." The comparison should be grounded in attributes the store actually maintains.

Transcript template: the human handoff

Customer: "The item arrived damaged." Agent: "I am sorry that happened. This needs a member of the store team to review the order and images, so I am handing it over now. The earlier messages will stay with the conversation; you should not need to repeat the details." Handoff is part of the service, not an apology for the automation.

How to review a transcript

Look for four things: the customer's goal, the facts used, the confidence of the answer, and the next action. If the same question repeatedly reaches a human, improve the catalog or policy source when possible. If the question always requires judgment, keep the handoff and make it faster.
